Poster Abstract Requirements

Submissions due by January 8, 2024 6:00PM CST



Abstract Fee:

There is a non-refundable $40 fee associated with each abstract.  Payment is required before you can access the poster abstract submission module.  If you received an award that includes abstract fee, you will be reimbursed.

Presentation Limitations:
Individuals are allowed only two poster presentations.  If someone is listed as the presenter on more than two (2) posters, a replacement presenter will be required. 

Meeting Registration:
Poster presenters are required to register for the meeting.  Poster presenters are not ‘Speakers’ and are not eligible for that registration category.

Diversity in Topic:
Abstracts that highlight diversity in topic (i.e., cultural, stereotypes, gender, race, ethnicity, URMs, generational) are strongly encouraged and will be noted during the review process.

Poster Category:
The poster category is used to assign reviewers and placement within the Schedule of Posters (at the meeting).  The list is divided into three areas (Biological/Preclinical, Psychosocial/Medical/Clinical, Other) with various research sub-categories under each area. You must select a first and second category choice. (Poster Abstract Categories). 

Membership Status:
Both members and non-members may submit.

Principal Author Affirmation:
Principal Author must affirm the abstract represents PRIMARILY unpublished findings and communicates novel findings that pertain to alcohol research. Also, affirms that if accepted, the presenting author will register and be available to make the poster presentation.

All Author Affirmation:
Must affirm that ALL authors listed have reviewed and given approval for the submission and publication of this abstract.

Abstract Format Requirements:
The profile used will automatically be indicated as both the Primary and Presenter for the poster.  If someone else will be presenting the poster, you need to add them as an 'Author'.  See Adding an Author below.

ABSTRACT FORMAT: Abstracts (alcohol research required) should be complete abstracts including purpose, methods, data, results, conclusions.
Title – should be entered in all CAPS (22 max word count).
Authors – should be entered as first initial(s) and full last name. (35 max word count).
Affiliation(s) – should be entered as Affiliation, Department, City, State, Zip and Country.  (35 max word count).
Body of Abstract (360 max word count).
NOTE: If you paste text more than the MAX 360 words, your text will be truncated.
 
ORGANIZE THE BODY OF THE ABSTRACT AS FOLLOWS:
  a. state purpose of the study, if not given in the title
  b. give a brief statement of methods used, if pertinent
  c. summarize the results obtained
  d. include a statement about the conclusion reached.

 

It is not acceptable to write: "results will be discussed".  Tables, graphs and/or charts are not allowed. Also, avoid citing sources in your abstract. There are two reasons for this: The abstract should focus on your original research, not on the work of others. The abstract should be self-contained and fully understandable without reference to other sources or future studies reference(s).

Adding An Author:
Co-authors can only be added after the abstract has been submitted.  Upon submission, a message window will appear allowing you to add an author.  This adds the author to the submission for future search functionality (Online Program and Web App), but NOT the actual abstract for publication - be sure to include in the author field of the abstract.  Co-authors added will have read only access.  The author marked 'Presenter' (Primary author by default) will have read/write/edit access.

Poster Mounting and Size:
The poster mounting area will be 45” x 45” (115cm x 115cm), so poster size is restricted to those dimensions.  Poster Numbers will be placed in the top left corner.  Push pins will be available for your use.  Posters should be mounted between 7:30am and 9:00am on the scheduled day.  Posters should remain mounted until the end of the Poster Session, but must be removed immediately afterward.
